Bay rentals pay the bills, but events are where the margin is. A single corporate outing or birthday party books multiple bays for a fixed block, often adds food and drink, and fills hours that would otherwise sit empty. For most simulator venues, events are the fastest way to raise revenue per hour without adding a single bay.
Why events beat walk-in bookings
An hour of open bay time earns you one hourly rate. That same hour sold as part of a two-hour corporate package — three bays, catering, a dedicated host — can earn several times more, and it usually lands on a weekday afternoon or a slow evening when demand is thin. Events also bring in first-time visitors in groups, which is the cheapest customer acquisition you’ll ever run: a dozen people discover your venue on someone else’s dime.
The packages worth offering
Keep your menu small and easy to say yes to. Three tiers cover almost every request:
A birthday / social package built around one or two bays for a fixed two-hour block, with a set number of guests, optional add-ons like a food platter, and a simple flat price. A corporate / team package that reserves several bays at once, includes a host to run a mini-tournament format, and bills to a single company card. And a holiday / large-group buyout for December and slow seasons, where a company rents the whole floor for an evening.
The mistake most operators make is over-customizing. A short, clear menu closes faster than an open-ended “tell us what you want.”
Pricing that protects your margin
Price events on a per-bay-per-hour basis with a group minimum, then layer add-ons on top. Build in a deposit at booking — this is non-negotiable, because a no-show on a multi-bay event is a catastrophic loss, not a minor one. Requiring upfront payment or a deposit at the moment of reservation is the single biggest protection against event no-shows. If your booking software can’t capture a deposit and block the bays automatically, you’re carrying risk you don’t need to.
